Creating Staff Accounts

Managing your staff is a very important part of your business and also a very important part of ScheduleBliss. In fact, when setting up your ScheduleBliss account, creating your staff accounts is probably the first thing you should do.

Which of your staff needs an account? Accounts are required for each staff member you would like to schedule any session for (be it classes, events or appointments). Client accounts are also needed for all your desk staff so that they can login to ScheduleBliss Admin to check clients in and make sales.


Adding New Staff Members

To begin adding staff members:

  1. Navigate to the Manage -> Staff page from the ScheduleBliss Admin Menu. You will also see that there is already one staff account, which is the account which was created for you when you first signed up with ScheduleBliss.
  2. Follow the Create New Staff Member link
  3. Enter the information for this staff member

Entering Staff Account Information

Not all staff account information inmandatory, but you must at least provide a First Name and a Last Name.

When adding a new staff member, you will have access to a subset of the set of settings that can be stored for each staff member. When you go back and Edit the staff member account at a later time you will see that you have access to upload an image for the staff member, configure additional System Privileges and so forth.

Setting Description
First Name The staff member's first name is mandatory and must be at least 2 characters long.
Last Name The staff members last name is mandatory and must be at least 2 characters long.
Login / Email It is highly recommended that you use the staff member's email address as their Login for ScheduleBliss Admin. If members of your staff are clients too, then they must use a different email address for their client account. Note that if your staff members need to receive email alerts from ScheduleBliss, then you must enter their email address here.
Password A password is only needed for staff members who you would like to grant access to login to your ScheduleBliss Admin. A password is not needed for staff members who will appear on your schedule, but do not need access to login to ScheduleBliss Admin. To set a password for this staff member and grant them access to your ScheduleBliss Admin, click the Check to Reset and enter a password for them in the Password field. After setting a staff member's password here, they are able to change it at any time by navigating to Manage -> Password in their ScheduleBliss Admin account. Note that for security reasons the password is hidden by star (*) characters and the number of stars does not correspond to the number of characters in the password.
Phone If you would like to enter a contact phone number for this staff member then enter it here.
Address Line 1 & 2 If you would like to enter a residential address for this staff member then enter it here.
City If you would like to enter a residential address for this staff member then enter it here.
State If you would like to enter a residential address for this staff member then enter it here.
Zip / Postal Code If you would like to enter a residential address for this staff member then enter it here.
Country If you would like to enter a residential address for this staff member then enter it here.
Birthday If you would like to enter date of birth information for this staff member then enter it here.
Gender If you would like to enter gender information for this staff member then enter it here.
Personal Bio Staff members who appear on your schedule can have a clickable public bio for client to read when they click on the staff member's name on the schedule list. Note that this information is publically displayed on your client / Internet facing schedule, do not store any private / sensitive information in this field.
Photo You can upload a photo to accompany a staff member's public bio on your client / Internet facing schedule. Note that the photo is publically displayed.
Default Pay Scale The Default Pay Scale that you select here will be the pay scale that is applied to the staff member's sessions when no overriding pay scale has been applied to the session itself. This is an important mechanism to understand: Pay scales set on sessions (classes, events, appointments etc.) will override the staff member's Default Pay Scale, otherwise this default pay scale will be used if there is no pay scale attached to the actual session.

Granting Privileges

As the owner / manager of your business, you should grant yourself Superuser Privileges: Yes. A Superuser has complete control of your ScheduleBliss account and unrestricted access to all system settings, financials, client data, reports, autopays, scheduling and more!

Don't give any member of your staff Superuser Privileges unless they really need it.

When creating new staff member accounts you will see a subset of the System Privileges available. When you go back and Edit the account you will see the full list of privileges which can be assigned to staff member accounts:

Staff Member Privilege Options

Setting Description
Superuser Privileges If set to Yes, this staff member will be granted access to all admin features.
Check-In All Sessions If set to Yes, this staff member will be granted access to check-in all scheduled classes, events and appointments.
Check-In Selected Sessions If set to Yes, this staff member will only be granted access to check-in the classes, events and appointments of your choosing. To choose those sessions please go to the schedule and click Access next to the session and add that staff member to the list.
Manage Schedule If set to Yes, this staff member will be granted access to add, edit and cancel all session types in the schedule including classes, events and appointments.
Manage Autopay If set to Yes, this staff member will be granted access to add, edit and cancel autopay entries.
Manage Client Contact Details If set to Yes, this staff member will be granted access to add, edit, or delete client contact details including Email, Cell Phone, Home Phone, Work Phone and Identity / Passport #.

Click Save to confirm the creation or changes to the staff member's accounte and go back to the Staff Manager. You can add additional staff by clicking Create New Staff Member, or you can make changes to any staff member's account by following the Edit link next to each staff member in the list.
