Creating staff accounts

Managing your staff is a very important part of your business and also a very important part of ScheduleBliss. In fact, when setting up your ScheduleBliss account, creating your staff accounts is probably the first thing you should do.

How to determine which of your staff needs an account? Accounts are required for each staff member you would like to schedule any session for (be it classes, events or appointments). Accounts are also needed for all your desk staff so that they can login to ScheduleBliss Admin to check clients in and make sales.


Adding new staff members

To begin adding staff members:

  1. Login to your ScheduleBliss Admin account and navigate to Staff Management (Manage -> Staff from the Admin Menu). You will also see that there is already one staff account, which is the account which was created for you when you first signed up with ScheduleBliss.
  2. Click +Add Staff.
  3. Enter the staff member's First name and Last name.
  4. Click Add Staff Member.

Entering Staff Account Information

Not all staff account information is mandatory, but you must at least provide a First name and a Last name.

SETTING DESCRIPTION
First name The staff member's first name is mandatory and must be at least 2 characters long.
Last name The staff members last name is mandatory and must be at least 2 characters long.
Email It is highly recommended that you use the staff member's email address as their login for ScheduleBliss Admin. If members of your staff are clients too, then they must use a different email address for their client account. Note that if your staff members need to receive email alerts from ScheduleBliss, then you must enter their email address here.
Password A password is only needed for staff members who you would like to grant access to login to your ScheduleBliss Admin. A password is not needed for staff members who will appear on your schedule, but do not need access to login to ScheduleBliss Admin. To set a password for this staff member and grant them access to your ScheduleBliss Admin, click Edit and enter a password for them in the Password field. After setting a staff member's password here, they are able to change it at any time by navigating to Manage -> Password in their ScheduleBliss Admin account. Note that for security reasons the password will appear as Encrypted once saved to the profile.
Phone primary If you would like to enter a primary contact phone number for this staff member then enter it here.
Phone secondary If you would like to enter a secondary contact phone number for this staff member then enter it here.
Phone work If you would like to enter a work contact phone number for this staff member then enter it here.
Address line 1 & 2 If you would like to enter a residential address for this staff member then enter it here.
City If you would like to enter a residential address for this staff member then enter it here.
State If you would like to enter a residential address for this staff member then enter it here.
Zip If you would like to enter a residential address for this staff member then enter it here.
Country If you would like to enter a residential address for this staff member then enter it here.
Birthday If you would like to enter date of birth information for this staff member then enter it here.
Gender If you would like to enter gender information for this staff member then enter it here.
Status The staff member will be set to Active by default. If you would like to inactivate this staff member, set to Inactive.
Default session pay scale The Default session pay scale that you select here will be the pay scale that is applied to the staff member's sessions when no overriding pay scale has been applied to the session itself. This is an important mechanism to understand: Pay scales set on sessions (classes, events, appointments etc.) will override the staff member's Default Session Pay Scale, otherwise this default pay scale will be used if there is no pay scale attached to the actual session.
Bio Staff members who appear on your schedule can have a clickable public bio for client to read when they click on the staff member's name on the schedule list. Note that this information is publicly displayed on your client / Internet facing schedule, do not store any private / sensitive information in this field.
Photo You can upload a photo to accompany a staff member's public bio on your client / Internet facing schedule. Note that the photo is publicly displayed.

Granting permissions

As the owner / manager of your business, you should set yourself as a superuser. A superuser has complete control of your ScheduleBliss account and unrestricted access to all system settings, financials, client data, reports, autopays, scheduling and more!

Don't give any member of your staff superuser permissions unless they really need it.

Permissions

SETTING DESCRIPTION
Superuser If checked, this staff member will be granted access to all admin features.
Reports administrator If checked, this staff member will be granted access to all reports.
Check in all classes If checked, this staff member will be granted access to check-in all scheduled classes, events and appointments.
Check in selected classes If checked, this staff member will only be granted access to check-in the classes, events and appointments of your choosing. To choose those sessions please go to the schedule and click Access next to the session and add that staff member to the list.
Manage schedule If checked, this staff member will be granted access to add, edit and cancel all session types in the schedule including classes, events and appointments.
Manage autopay If checked, this staff member will be granted access to add, edit and cancel autopay entries.
Manage staff If checked, this staff member will be granted access to add, edit and delete Staff profiles.
View client contact details If checked, this staff member will be granted access to add, edit, or delete client contact details including Email, Cell Phone, Home Phone, Work Phone and Identity / Passport #.

Once you have added all your info and settings, click Save which will save the staff profile and take you back to the staff manager. To add additional staff simply click + Add Staff and follow the same steps. Additionally, you can make changes to any staff profile at any time by clicking directly on the staff member's name in the staff manager to open their profile.
